SET UP TIME
Set up begins at 8:00 am on Tuesday, May 7th. You are not permitted to drop off your display materials or begin set-up prior to this time. All exhibits must be set-up by 10:00 am - there will be a mandatory exhibitor briefing on show policies and procedures beginning at 10:00 am in the Piazza 31 Club. The show floor opens to distributors and end-users at 10:30 am and closes at 3:00 pm. You are not permitted to break down prior to 3:00 pm.
LOAD-IN and LOAD-OUT
When you arrive to Citi Field, use Gate 9. Proceed to the loading dock and the Citi Field Event Crew will help bring your items on carts to the Piazza 31 Club via the freight elevator. Once unloaded, proceed to Lot B/D for parking. There is no cost to park. Once you are parked, enter the ballpark through the SEAVER VIP Entrance. Take the elevator to the 5th floor to the Piazza 31 Club. When leaving the show, the same process will happen in reverse. All vendors must be packed up by 4:30 pm.

EXHIBITOR NAME BADGES
Please register your exhibitor personnel in advance so your name badges will be waiting for you when you arrive. It is the fastest way to check-in! Please email info@saagny.org to add personal to your exhibitor registration.
ELECTRICITY
Electricity is available at an additional fee of $200 per 20 amp outlet. Please email info@saagny.org if you need electricity and did not order it upon registration.

Items may arrive 3 business days prior to the event, starting on May 3rd, 2023. Please send the shipment specifications (number of boxes and tracking numbrers) to info@saagny.org so we can ensure all shipments are received and delivered to your table. If you need to ship anything after the event, please bring completed return labels for your shipment. Citi Field has regualrly Fed Ex and UPS pickups. Boxes need to be taped and labeled for reshipment.
SPONSORSHIP OPPORTUNITIES
We are offering multiple opportunities for exhibitors to get more recognition at the event.
Night Before Networking event: $500
Your company logo will be displayed at the event and included in our digital marketing. Limited number of spaces available.
Piazza Club TVs: $750
Your company logo will be displayed on the TVs in the Piazza 31 Club and included in our digital marketing.
Limited number of spaces available.
Ballpark Snacks Sponsorship: $1,250
Your company logo will be displayed at each of the food stations, displayed on the Piazza 31 Club TVs, and included in our digital marketing. Limited number of spaces available.
End User Thank You Bag Donation: No Charge
All end users will be given a Thank You bag when they leave. Products will be selected on a first come, first served basis per product / category. Limited space available. Additional information will be sent if selected during the registration process or you can email info@saagny.org for more details.
All Star Products: No Charge
Show us your best! Products will be displayed at the entrance of the event for all attendees to see. Entry includes signage with product description, company name, and table number to drive traffic to your booth. Products will be selected on a first come, first served basis per product / category. Limited space available. Additional information will be sent if selected during the registration process or you can email info@saagny.org for more details.
SHOW RULES
The SAAGNY Summer Showcase is a client / end-user show. The following rules apply to all exhibitors:
Your direct contact information should not be distributed to any attendees (including distributors) and may not be given to client/end-users at any time. This includes items like line lists for our multiline reps, business cards for all exhibitors, etc. Please pay careful attention to your display materials to make sure you do not accidentally share your contact information.
You should only discuss pricing in coded / catalog terms. Even though you may know you are talking to a distributor, you may not know who is standing behind you that can hear your conversation. Please be very conscious of discussing net pricing with end-users. It has happened accidentally in the past and has put the end-users’ distributor in a very difficult position.
All attendees will be clearly identifiable. Clients/end-users will have yellow name badges. Distributors and end-users will also have different color lanyards. Client / end-user name badges will have only their first names plus a code for the distributor that invited them. Distributors will have their full name only on their badges.
All exhibitors will be given a supply of three-part carbonless Lead Retrieval forms. The top copy is to be returned to SAAGNY at the end of the show. The middle copy is for you to retain and the bottom copy is for the client to keep. Following the show, we will distribute SAAGNY’s copy to the distributor that invited that end-user. Please be sure to return the top copy to us so the distributor may follow up with their client.
There will be a mandatory meeting for all exhibitors at 10:00 am prior to the event.
Failure to follow the above guidelines may result in the removal of SAAGNY membership and banishment from future SAAGNY events.
